This article explains the process for updating your Contractbook login email. For security reasons, email changes are handled exclusively by our Support Team.

How to change your email address in Contractbook

Requesting an email change

To protect your legal documents and data, users cannot manually edit their email addresses from the profile settings. Follow these steps to request an update:

  • Verify your identity: You must send the request from your currently registered Contractbook email address.

  • Access Required: Access to your original email inbox is required to verify your identity and authorize the change. 

  • Check the "New" Email: The new email address you wish to use must not already be associated with an active Contractbook account.

    • If an account exists: You must delete the account associated with the new email address before we can repurpose it for your primary profile. 

    • Recovering Documents: If you have important documents in the account you are about to delete, ensure you download or share them first. Once the account is deleted, those specific documents will no longer be accessible under that email. 

  • Contact Support: Reach out to our Support team with the details of your request.

  • Confirmation: Our team will process the change on the backend and notify you once the transition is complete.


Pro-tips for a smooth transition

Warning: Account deletion is permanent. If you delete an account to "free up" an email address, make sure you have saved any contracts or data you need from that account first. You can do that by exporting them, or sharing them in Spaces fully managed by your company or your old email address in the platform.

Note for Company Users: If you are moving to a new company email, your admin does not need to create a new user for you. Once support updates your email, your existing profile—including your company shared contract spaces and permissions—will simply reflect the new address. 


Users in a Company account

If your account is part of a Company, changing your email address requires specific coordination to maintain access to shared resources:

  • Company Permissions: Your updated email will automatically retain its relationship to the Company and any specific user permissions previously assigned. 

  • Shared Spaces: You will maintain seamless access to all company Shared Contract and Template Spaces, as well as any private Spaces, once the transition is finalized. 


Special considerations for SCIM integrations


If your organization uses SCIM (System for Cross-domain Identity Management) for automated user provisioning, please be aware of the following:

  • Avoid duplicate accounts: Changing an email address manually in Contractbook while a SCIM sync is active can cause the system to create a second, duplicate user profile.

  • Coordinate with IT: Always update the email address in your Identity Provider (Okta or Microsoft Entra ID) first to let the synchronization handle the update in Contractbook.

  • Complex setups: For organizations with custom synchronization rules, please contact our support team to ensure a seamless transition.

SSO Login (Google or Microsoft)

If you currently log in using Google or Microsoft SSO, we must update your login method to a password-based system first:

  • Password login: We will trigger a password login to transition your account away from the SSO-only login. 

  • Login Update: Once a password is set, our team can proceed with updating the email address on the backend.

  • Re-linking SSO: After the change is complete, you can re-link your new email to your preferred SSO provider.


Post-Change: Managing Pending Contracts

Once our support team confirms your email change is complete, you must update your active documents to ensure they can be signed:

  • Identify Pending Contracts: Locate any agreements sent to your old email address that are still awaiting signature. 

  • Edit and Resend: You must edit these pending contracts and resend them specifically to your new email address.

  • Why this is required: If this step is skipped, you will not be able to sign these pending contracts from your account using the new email address. 


Pro-tip: Use the "Pending" filter in your documents overview to quickly identify which contracts need to be updated and resent.
