Managing Users in Contractbook

Company admins given the permissions to "Manage users" will be able to invite, deactivate and manage all company user permissions.

How to edit user permissions

Having the "Manage users" access will allow you to manage users' granular permissions.

To review or change specific user permissions, click on the Users page under your Company account settings:

To edit User permissions, click on the "Manage permissions" option associated with their account in the overview:

Managing Users permissions

You can toggle all permissions on and off and confirm your changes with the "Save changes" button at the bottom.

What types of permissions can I assign to users?

The specific user permissions you can assign are:

Manage all contracts

Gives users the ability to view, fully edit, delete, and share (owner-equivalent access) all contracts that were created by them.

Manage all contracts” user permission is equal to the access rights that team owners used to have across all team contracts. The benefits of this user permission in comparison to the old team-based contract rights are:

  • Can be toggled on and off for multiple users in your company.
  • Allows full access to all contracts in your company, with no restrictions on deleting, moving, or editing contracts
  • Natively embedded into the contract list view and compatible with existing filters.

When this permission is enabled, the user will see a new Contract view called “Company contracts”:

What does the "Company contracts" view mean?

This view shows all contracts created by company users. Users given "Manage all contracts" permissions will automatically get access to this Contract view.

Use the “Owned by” filter in the Contract view to find contracts created by specific Company members.

Manage users

Gives users the ability to invite new users to the company, deactivate existing users, and manage their user permissions.

Deactivating users results in removing their access and any already assigned permissions:

Users with this permission can toggle on or off all other permissions for themselves and the rest of the Company users.

Manage company settings

Allows users to edit the Company details page, located under the Settings menu.

This includes: Company logo, Name, and Date format:

The default Company date format can be based on the document language or custom. It identifies which date format will be used by default across date type data fields in all templates, contracts, and AI uploads.

Manage subscription

Users will be able to view the subscription and general usage details of the company plan:

Manage data fields library

Gives users the ability to view and edit the company's Data fields library:

New data fields for the entire company can be directly added from the library page.

Manage AI upload contract types

This permission allows users to create new contract types when using the AI import functionality.

They can also edit or delete existing custom contract types created by any other user within the company.

If a user does not have this permission enabled, they will still be able to use the custom contract types created by other company users.
